Job description

Role Objective

Co-ordinate delivery process after receiving the original invoices and control the delivery schedule.

Areas of responsibilities

  1. Maintain monthly delivery record as per customer code (Documentation copies eg. Delivery order, Invoices, GRV etc)
  2. Authorize export customers customs clearing agent in Bayan to clear their shipments.
  3. Extract Bayan (Customs declaration) for all the export shipments from e-Customs service portal.
  4. Monitor all export shipment customs clearance process and ensure all the documents are submitted for clearance.
  5. Prepare gatepass for external trucks and drivers based on the request of customers.
  6. Follow up with transporters and drivers to get the trucks on time for loading.
  7. Create and maintain contact with vendors and customers to ensure timely delivery of goods.
  8. Coordinate with the dispatch team and QC prior to loading to ensure trucks/ Containers meet with the Food safety standards.
  9. Interact with third-party fleet service providers (Leasing vehicle companies).
  10. Ensure and maintain accuracy of all inventories and goods returned notes.
  11. Maintain communication with warehouse staff/ Weighbridge team to ensure proper working order.
  12. Ensure all LPO’s and orders from sales dept. is updated in SAP.
  13. Create sales orders in SAP if required.
  14. Assist customers with inquiries particularly on scheduled deliveries.
  15. Monitor and facilitate sales returned orders and coordinate with drivers to return back the material on time.
  16. Responsible for informing customer of shipping date, anticipated delay and any other additional information as needed by customer.
  17. Performa any other tasks from his direct supervisor as applicable.

Education and Experience

Minimum diploma in any discipline preferably in Economics, Finance, Business, operations

Minimum 3 years experience in shipping, service transport, clerical, and operations

Special Skills and Knowledge:

  1. Attention to detail.
  2. Reporting skills.
  3. Clerical knowledge.
